Job Title: Senior Personal Assistant / Minute Taker - Co Down area

PA2day has successfully developed a niche in Northern Ireland and across the UK for the provision of high calibre PA and Office Administration services - in particular for Minute Taking support.

We wish to recruit additional experienced PAs / Minute Takers (based in Northern Ireland) to join the team

You will join a team of highly experienced and professional staff providing administrative support services. You will be working directly with PA2day’s clients and may be called on at short notice.

This is a hybrid role - currently some two thirds of PA2day's minute taking/VPA based work is being undertaken remotely with the remaining work being undertaken on site with clients in Northern Ireland. PA2day work with individual business professionals and larger corporate organisations to fulfil ongoing or interim assignments plus special projects.

Typical support duties include:

  • Project work – impartial and confidential minute taking/HR notetaking, audio transcription, document formatting, creating presentations, copy typing, creating spreadsheets / databases, event support, etc.
  • Providing valuable PA and administrative support to a small growing business, business professional or entrepreneur.
  • Providing consistent administrative support to larger organisations, covering staffing gaps or during busy periods.
  • Helping advise on appropriate administration systems

To be part of our growing team, applicants must:

  • Have at least two years’ experience of minute taking at Board / Senior Level and/or HR note taking within the last three years (current shorthand skills will be advantageous)
  • Have at least three years’ experience as a Senior Administrator or PA
  • Be flexible in their approach to supporting their clients and committed to completing tasks in a timely manner
  • Be competent in working with office technology and in all Microsoft Office products
  • Welcome the challenge of working with a variety of clients from diverse organisations
  • Have good organisational skills, a professional approach to their work and good communication skills
  • Be a team player but also be self-motivated and comfortable working on their own initiative as necessary, and demonstrate strict adherence to confidentiality
  • Demonstrate a commitment to ongoing learning and development and to participate in any training relevant to the role

Desirable criteria – applicants may also have:

  • Fast and accurate transcription skills

Due to the interim/as hoc nature of this role, it will best suit an experienced individual who wishes to work on a more flexible basis rather than establish a full time career. The role offers a variety of assignments and flexibility to working patterns within a small team. You will develop a trusted relationship with your own regular clients, and enjoy the buzz of facing new challenges and working in varying business environments.

You will be employed on a permanent part-time basis; although some roles may be on a short-term full-time basis.

While applicants from throughout Northern Ireland are sought, we are currently specifically seeking applicants from the Down / South Down area.

As PA2day has clients located across Northern Ireland, own transport is essential.
